    Tender project planning

    We generally split each tenderproject into 4 major parts:

    • Phase 1 Research / RFQ / ITT
      Define requirements, suppliers and other bid data. Definition and publish RFQ/ITT.

    • Phase 2 Bidding round 1
      Publish and retrieve bid data, analyze results.

    • Phase 3 Bidding round 2
      Publish bid results to suppliers, retrieve additional data, analyze results.

    • Phase 4 Definition / Contracts
      Overall analyses, negotiating supplier, audits, contracts and implementation.

    We usually plan 2 weeks idle between each phase in order to reserve time for suppliers calculating their bids and analyzing the data. An example of a one-fold tender timeline looks like:

    • Week 1: Phase 1 Research / RFQ / ITT

    • Week 2: Phase 2 Bidding round 1

    • Week 3 Idle

    • Week 4 Idle

    • Week 5 Phase 3 Bidding round 2

    • Week 6 Idle

    • Week 7 Idle

    • Week 8 Phase 4 Definition / Contracts

    The overall project timeline depends on the size of the project. Worldwide projects with starting points in more continents can easy consume double or even three times the above mentioned schedule.
